Synapsis AI Privacy Policy

Applies to Synapsis AI, the on-premises learner tutor and coach available across all MyoMed Prep Platforms (NexGen Mastery, RadMatrix, Rescue, and Foundations), including signed-in member sessions. It does not replace the platform Privacy Policy for accounts, learning records, billing, or the company website. Where this policy and the platform Privacy Policy appear to conflict about a Synapsis tutor or coach turn, this policy controls. Last updated: 30 September 2026.

1. What This Policy Covers

1.1 Synapsis AI is the named local tutor and coach inside MyoMed Prep. It is not a separate company. MyoMed Prep LLC remains the education brand; Synapsis is the coach mark you see when you ask for an explanation.

1.2 Member session means a signed-in turn: you type a question or paste a study item, and Synapsis returns an educational reply. The question text and the reply are stored with your MyoMed Prep account so you can return to the conversation and so we can review the tutor’s safety behavior.

1.3 Account data, scores, flashcard schedules, and the rest of the learning record stay under the platform Privacy Policy.

2. Where a Tutor Turn Is Computed

2.1 Synapsis is answered by a language model running on MyoMed Prep hardware:

  1. A library-grounded reply on the application host;
  2. A Hailo-10H language model on the Pi when that accelerator is available;
  3. Your own device, when you choose “Run on this device”: a model downloaded into your browser computes the turn locally, and no session text leaves your device;
  4. An operator-rented private GPU endpoint when that path is configured. In that mode the turn is computed on hardware MyoMed Prep rents from a hosting provider rather than on MyoMed-owned hardware. It is not a public AI API, and no third-party model vendor sees the turn text.

2.2 A tutor turn stays on MyoMed Prep hardware and is not sent to Ollama Cloud or any other hosted AI service. When the operator has configured a rented GPU endpoint, that turn runs on a private GPU MyoMed Prep rents rather than on MyoMed-owned hardware; when you choose “Run on this device,” it runs in your browser and no session text leaves your device. If the configured engine is unavailable, the tutor soft-fails locally; practice items, unfolding cases, readiness exams, and flashcards keep working. Nothing else on the platform depends on Synapsis.

2.3 No training on your data. We do not use your conversations to train any public or hosted model, and we never sell or share them.

2.4 Data isolation. Your name, email address, account identifier, and learning history are not sent to any inference engine outside MyoMed Prep hardware, an operator-rented private GPU endpoint, or your own device.

2.5 Verify rather than trust. The tutor’s status endpoint publishes cloud_fallback_enabled, which reports whether a hosted engine is armed for learner tutor turns. On MyoMed Prep production the learner tutor never uses a third-party hosted AI API; when the operator-rented private GPU path is configured the status reflects that, and when you run on your own device the turn never leaves it. See the Sub-processors page.

3. Library Grounding and Accuracy

3.1 The product is designed to keep a language-model reply only when that reply cites a library passage and does not invent a dose. Otherwise the learner is shown the library answer.

3.2 That is a safety rule of the software, not a guarantee that every displayed sentence is complete or a substitute for your primary references. Every answer path is run against a fixed prompt set (doses, contraindications, pediatric and pregnancy cases, misleading premises, messages it must decline) and the dated results (citation accuracy, unsupported-claim rate, dose-hallucination rate, refusal accuracy) are published on the technical page. It is a regression gate, not a clinical-safety certification.

3.3 Synapsis is education only. It is not medical advice and it is not a clinical decision-support device. See the Educational and Medical Disclaimer.

4. Vision Assistance (Planned — Not Currently Enabled)

4.1 No vision or image-labeling sidecar is deployed today. This section describes a planned capability and will be updated before anything ships. When enabled, an on-premises vision accelerator would label imaging modality only (for example: chest radiograph, CT, MR, ultrasound, or histopathology). It does not draw bounding boxes and it does not diagnose.

4.2 The application chest schematic is not sent to it, and it is never the tutor engine and does not receive member-session question text.

4.3 Until such a sidecar exists, Synapsis answers from the library tutor. Device-standby labels in the product header, when shown, mean an accelerator is not in the path.

5. What We Collect from a Synapsis Session

5.1 Session text: The question or pasted study item you submit, and the reply Synapsis returns.

5.2 Session metadata: Mode (for example: Socratic, practice item, dosage coach), optional module focus, timestamps, and daily turn counts used to operate the feature.

5.3 What we do not collect: We do not collect or store any biometric data, keystroke timing, device sensor data, or screen recordings in connection with Synapsis sessions.

5.4 Prohibition on PHI. We do not ask for, and you must not submit, real patient information or PHI. Do not paste identifiable clinical records into Synapsis. That rule is about your professional obligations, not our architecture.

6. Legal Basis for Processing

6.1 Contract. Processing session text and metadata is necessary to deliver the tutor feature you chose to use under the Terms of Service.

6.2 Legitimate interest. Storing session text for safety review and regression testing of the tutor’s accuracy behavior. We balance this interest against your privacy and limit access to authorized personnel.

6.3 Consent. Synapsis is optional. Using it constitutes consent to the processing described in this policy. You may stop using Synapsis at any time, and you may request deletion of stored conversations at any time.

7. What Is Not a Synapsis Sub-processor

7.1 There is no hosted AI provider for the learner tutor.

7.2 Operator-side authoring or batch tools, if used at all, never receive learner tutor turns.

7.3 An operator-rented GPU endpoint or custom membership weight, when loaded, runs on hardware MyoMed Prep rents or operates — not on a third-party model vendor’s public service.

7.4 The account around the session may still pass through the parties listed on the Sub-processors page (for example, Cloudflare for public DNS/TLS, Stripe if you subscribe, and the transactional email relay). Those parties do not receive the text of a Synapsis turn for model inference.

8. Cookies and Local Storage

Synapsis uses the same signed-in session token as the Platform you are accessing. We do not set a separate advertising or cross-site tracking cookie for the tutor.

9. Retention

9.1 Synapsis conversations are retained with your account and are deleted when you delete your account or ask us to clear them.

9.2 Server logs related to Synapsis sessions are rotated on a short cycle, not to exceed ninety (90) days.

9.3 Encrypted backups containing Synapsis session data age out on a rolling schedule, not to exceed one hundred eighty (180) days.

9.4 Aggregated, de-identified accuracy metrics derived from regression testing (not individual session text) may be retained indefinitely for quality measurement.

10. Your Rights and Choices

10.1 Do not use it. Synapsis is optional. Closing it does not affect practice items, cases, readiness exams, or flashcards.

10.2 Access and export. You may request a copy of the personal data we hold about you, including stored Synapsis conversations, in a commonly used electronic format.

10.3 Correction. You may correct your name and email in your account settings.

10.4 Deletion. You may request deletion of your account and its data, including Synapsis conversations. We will remove them from the live database within thirty (30) days and let them age out of encrypted backups per Section 9.3.

10.5 Clear conversations only. You may ask us to delete your Synapsis conversation history without deleting your entire account. Email contact.admin@myomedprep.org with “Clear Synapsis history” in the subject line.

10.6 Additional rights. Depending on your jurisdiction (for example, under the MCDPA, CCPA/CPRA, or GDPR), you may have additional rights. See the platform Privacy Policy, Sections 10 through 13, for jurisdiction-specific details. We honor verified requests consistent with applicable law.

10.7 How to exercise these rights. Email contact.admin@myomedprep.org from the address on your account with “Privacy request” in the subject line. We respond within thirty (30) days.

10.8 No retaliation. We will not discriminate against you for exercising your privacy rights.

11. Automated Decision-Making

11.1 Synapsis generates educational replies using a language model. This is automated content generation, not automated decision-making that produces legal or similarly significant effects concerning you.

11.2 Synapsis does not make decisions about your account status, subscription, access to features, grades, academic standing, professional licensing, or employment. Those decisions, where applicable, are made by humans.

11.3 The adaptive difficulty engine (which adjusts question difficulty based on your performance) operates separately from Synapsis and is described in the platform Privacy Policy. It affects the questions you see, not any decision with legal or similarly significant effects.

12. Children and Minors

12.1 Synapsis is not directed to children under 16, and we do not knowingly collect personal data from them through the tutor.

12.2 If you believe a child under 16 has used the tutor, contact us at contact.admin@myomedprep.org and we will delete the account and all associated Synapsis data.

13. Security

13.1 Synapsis runs behind the same origin perimeter as the other MyoMed Prep Platforms: an operator-managed next-generation firewall (Protectli Vault running OPNsense), application services bound to loopback on the self-hosted rack, and (when configured) optional public ingress via Cloudflare Tunnel or a local reverse proxy.

13.2 Session text is stored in the same platform database as other account data, protected by access controls and encrypted backups. Full-disk encryption of the database volume is on our roadmap.

13.3 Access to stored Synapsis conversations is restricted to authorized personnel for safety review and troubleshooting only.

13.4 No system is perfectly secure. If a breach affecting your Synapsis data occurs, we will notify you as required by law and consistent with the timelines described in the platform Privacy Policy, Section 15.3.

14. Changes to This Policy

We may update this policy. The “Last updated” date reflects the current version. Material changes will be announced on the Platforms and, for registered users, by email at least thirty (30) days before the changes take effect. Continued use of Synapsis after the effective date constitutes acceptance.

15. Governing Law

This policy is governed by the laws of the State of Montana, without regard to conflict-of-law rules, except to the extent superseded by applicable federal law or the mandatory privacy laws of your jurisdiction of residence.

16. Contact

Privacy questions, and access, export, correction, or deletion requests: contact.admin@myomedprep.org (please put “Privacy request” in the subject line so we can route and verify it promptly).
